Sales & Marketing Operations · Helsinki

The operations layer behind your sales and marketing teams.

Quantrah designs, builds and operates the systems your sales and marketing teams run on — HubSpot, automation, data, reporting and outbound infrastructure — so your people can sell and market instead of fighting their tools.

The problem

Your revenue team is running on duct tape.

Three versions of the same problem, depending on which chair you sit in.

Founder / CEO

You are still the one fixing the CRM.

Deals live in three places, the handoff to sales is a Slack message, and the person doing ops is you at 11pm. Hiring RevOps is months away and you need the system working now.

VP / Head of Sales

You have reps, but nobody owns the system.

Leads sit unassigned, stages mean different things to different people, and forecasting is a spreadsheet somebody rebuilds each Friday. The team is selling around the tooling instead of with it.

Head of Marketing / CMO

You need MarOps, and cannot justify the hire.

Lead scoring was set up once and never revisited, attribution stops at first touch, and deliverability quietly collapsed last quarter. Sales says the leads are bad; you cannot prove otherwise.

What we do

Two pillars, five modules.

Sales Ops and Marketing Ops are the offering. Outbound, CRM and data are modules inside it — not the headline, and never sold as standalone lead generation.

Pillar A

Sales Operations

Your sales team’s back office.

  • CRM architecture and administration — HubSpot primary, also Salesforce and Pipedrive
  • Pipeline design, deal stages, forecasting and reporting dashboards
  • Lead routing, assignment rules, SLAs and SDR → AE → CS handoffs
  • Sales stack setup and admin: Apollo, ZoomInfo, Salesloft, Sales Navigator, Expandi
  • Data hygiene, enrichment, deduplication and migrations
  • Enablement systems: templates, sequences, playbooks, KPI tracking
Pillar B

Marketing Operations

Your marketing team’s engine room.

  • Marketing automation and lifecycle workflows in HubSpot Marketing Hub
  • Lead scoring, MQL/SQL definitions, attribution and reporting
  • Email infrastructure and deliverability: domains, authentication, sending reputation
  • Campaign ops: landing pages, forms, list management, segmentation
  • Webinar and event operations with follow-up automation
  • Marketing ↔ Sales alignment: shared definitions and closed-loop reporting
M1
Outbound Infrastructure

Domains, inboxes, warm-up, deliverability, Clay enrichment tables and multi-channel sequencing.

M2
CRM Implementation

HubSpot onboarding, portal audits, migrations from Salesforce, Pipedrive or spreadsheets.

M3
Data & Enrichment

ICP definition, list building, enrichment waterfalls and verification.

M4
Automation

Zapier and Make, native integrations, AI agents for research and personalisation.

M5
Reporting

Funnel dashboards, pipeline reviews and board-ready revenue reporting.

Case studies

Six builds, start to finish.

Situation, what got built, and what changed — in the client’s own numbers.

MarketScale · Dallas · 2024–26

Outbound team and show-rate

  • Situation. A 12-person outbound team — 10 appointment setters and 2 lead generators — with inconsistent process and meetings that were booked but not attended.
  • What we built. Structured the motion end to end: sequencing, qualification criteria, SDR → AE handoffs, and a confirmation process around every booked meeting. CRM workflows rebuilt across Salesforce, HubSpot, Apollo and ZoomInfo Engage.
  • Result. $2M+ in new sales in a single quarter, show-up rate from 47% to 74%, and meeting bookings up 30%.
The HR Congress · Budapest · 2024–25

Outbound infrastructure from zero

  • Situation. No sending infrastructure and no way to reach the market at volume without burning the primary domain.
  • What we built. Built the whole stack from scratch: 15 domains, 60+ mailboxes, SPF, DKIM, DMARC, custom tracking domains, warm-up schedules and volume pacing. Moved manual outreach onto Woodpecker and Instantly.
  • Result. 50,000 outbound emails a month running reliably, returning 5× ROI.
Homesearch · London · 2023–24

HubSpot implementation

  • Situation. A CRM the team did not trust, with inconsistent data and reporting that could not answer basic questions.
  • What we built. Implemented HubSpot properly — objects, properties, lifecycle stages, routing, dashboards and the service module — then trained the team on it.
  • Result. +60% CRM data accuracy, +45% ticket resolution, +40% faster decision-making, +35% process efficiency and +50% team proficiency.
Outra · SF Bay Area · 2025–26

AI-powered outbound engine

  • Situation. Second hire on the go-to-market team at a newly launched lead-gen startup, with no BDR function in place.
  • What we built. Stood up the BDR function from the ground up and built an AI-assisted outbound engine on Apollo, Clay, Smartlead and MillionVerifier — enrichment, inbox rotation and multi-step sequencing.
  • Result. 5–10K prospects a week at under 1% bounce, five qualified meetings in the first 15 days for a pilot customer, and the first rep to hit 100% outcome quota.
Parallel · New York · 2022–23

Growth and spend efficiency

  • Situation. A platform that needed users fast, with marketing spend running well ahead of results.
  • What we built. Rebuilt acquisition around LinkedIn ads and job boards, ran lead generation on Apollo and Lemlist, and moved lead management into Pipedrive with proper process.
  • Result. User base from 500 to 30,000 in eight months, weekly spend cut from $2,000 to $400, and 80+ companies onboarded, up from five or six.
Omni HR · Singapore · 2023–24

Organic growth infrastructure

  • Situation. Low search visibility and a thin backlink profile limiting inbound pipeline.
  • What we built. Ran a structured link-building and partnership programme — guest posts, content sharing and exchanges — with Ahrefs driving target selection.
  • Result. Domain Rating from 23 to 38, monthly visitors from 5,000 to over 90,000, and a 65% rise in leads at a 35% conversion rate.

FAQ

Questions we get asked.

Do you replace our sales or marketing team?

No. We run the systems underneath them. Your reps keep selling and your marketers keep marketing — we own the CRM, the automations, the data and the outbound infrastructure they depend on.

Do we own the infrastructure you build?

Yes, entirely. Everything is built inside your own accounts and documented as it is built. If an engagement ends, the system stays and your team has the documentation to run it.

Is it HubSpot only?

HubSpot is where we go deepest and what we recommend for most teams in this range, but we also work in Salesforce and Pipedrive. We work in what you already own rather than push a migration you do not need.

What is the minimum engagement?

The two-week Ops Audit is the smallest way to work together, and it stands on its own — you keep the findings and the roadmap whether or not we continue.

Do you still do outbound?

Yes, as part of the operations build. Outbound infrastructure — domains, inboxes, deliverability, enrichment and sequencing — is one of the modules. We do not sell appointment setting as a standalone service.

Where are you based, and which time zones do you cover?

Quantrah Oy is a registered Finnish company based in Helsinki. We work remotely with teams across the Nordics, the wider EU, the UK and the US, and have run operations for companies in Dallas, London, Stockholm, Berlin, Budapest, Singapore, Dubai, Málaga, New York and the Bay Area.
